Terms & Conditions

General

This is a legally binding contract between the property owner, Hoods Croft Stays and the guest. The property owner is also referred to as "we" and "us".

The guest is the person who completes the booking form and who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The guest is also referred to as "you".

The properties referred to being The Coach House and The Barn @ Hoods Croft.

Bookings

A booking deposit of 50% of the rental charge is payable within 24 hours of the provisional booking being taken. The booking is taken on a provisional basis until the deposit has been paid in full and funds cleared through the banking system (where appropriate). The booking then becomes confirmed. Until the booking is confirmed, it can be cancelled at any time without prior notice.

The balance of the rental charge, along with the breakage deposit, is payable not less than 4 weeks prior to the start of the holiday. Failure to pay the deposit or balance in full by the due dates will constitute a cancellation of the holiday by the guest. Please be sure to note the due dates of these payments as reminders are not routinely issued.

Bookings made less than 4 weeks prior to the arrival date must be paid in full at the time of booking.

Cancellation by the Guest

Cancellation of the booking by the guest should be immediately notified to us and should be made by email. 

Guests wishing to cancel will receive refunds on the following scale:

  • 100% refund if cancelled up to and including 14 days prior to arrival.

  • 50% if cancelled between 13 days and up to and including 7 days prior to arrival.

  • 0% if cancelled between 6 days and up to and including arrival date.

As soon as we are informed in writing by email of a cancellation, we will make the dates available for rebooking on our website.  

We emphasise that guests should obtain their own travel insurance (we regret that we are unable to recommend specific companies and policies).

Cancellations for Covid-related Local and National Lockdowns or Travel Restrictions:

We guarantee a full refund of monies paid in the event of
(1) a National Lockdown and/or
(2) the government placing the address given on the booking form into a Tier with a Do Not Travel restriction.

Our refund guarantee does NOT cover guests for
(1) falling ill with Covid (or any other illness)
(2) a requirement to self-isolate or quarantine, or
(3) a Track & Trace alert preventing them from travelling.

If a guest arrives with or develops COVID-19 during their stay, they must immediately advise us by telephone and return home to self-isolate. This is to avoid close contact with guests who may be at higher risk from COVID-19. Once a property is vacated post infection, appropriate cleaning procedures will be followed.

Those situations can all be covered by taking out suitable travel insurance.

Cancellation by the Property Owner

The property owner will endeavour to make sure the stated property is available for the dates contracted. In the unlikely event the property becomes not available and the property owner has to cancel the booking, the guest shall be entitled to a full refund. The property owner shall only be liable to return the monies received. No compensation or consequential losses shall be paid.

Occupation

Accommodation is limited to the number of persons for whom the booking is made, and in any event no more than the advertised capacity for each property. We can supply travel cots for an additional cost, and bedrooms made up as agreed.

If it is found that more people than agreed are using the property, this will be considered a breach of contract and the guest and his/her party will be asked to leave immediately without any refund. Sub-letting or assignation of the let is prohibited.

The Coach House and Barn are not designed for the use of youth groups or student parties. Sleeping in tents or motor vehicles onsite is not permitted. In the event of a breach of this condition, we reserve the right to require the guest and their party to vacate immediately, without recourse to compensation.

Liability

We cannot be held responsible for loss or damage of guests’ belongings (including vehicles) or for injury sustained during their stay at the property. In the event of belongings being left behind, best efforts will be made to locate the items and arrange return at the guest’s expense.  

Children must be supervised at all times.

Pets

Up to two pets are welcome in each property for a supplementary charge of £25.00 per animal per stay to cover additional cleaning. 

All pets must be house trained and the number and type of pet must not exceed what was agreed at the time of booking, otherwise a breach of contract will be deemed to have taken place.

Please refrain from allowing your pets on the beds or furniture or leaving them unattended in the properties. Towels, blankets, and bags are provided, please use these and dispose of animal waste in the bin provided by the driveway. Guests are welcome to lead-walk their dogs in our two fields immediately adjacent to The Coach House and Barn.  Direct access to Chailey Common is possible from Hoods Croft.

Pets must not be left unaccompanied in the property at any time.  The guest shall be liable for all damage caused by his/her pet or any pet belonging to the guest's party. A charge will be made for any additional cleaning required. The property owner cannot be held responsible for any accident or injury to a pet during their stay.

Arrival and Departure Time

Every effort will be made to have the property available from 4pm on the day of arrival. The property must be vacated by 11am on the day of departure. Late departure will result in an additional charge being made. Information about check-in will be provided 48 hours prior to arrival and only once full payment has been received.

Cleaning

We would like to think the guest and party would treat the property as they would their own home and at the end of the holiday the property is left in a clean and tidy condition. The property owner retains the right to make an additional charge for cleaning should the property not be left in a similar condition to the way it was found at the start of the holiday. 

Drainage

Hoods Croft is not on mains drainage and has its own sewage treatment system.  Guests must refrain from depositing cooking fats in sinks and anything other than toilet paper in WC’s.

Smoking

Smoking is not permitted inside the properties.

WiFi

The properties each have an excellent WiFi signal and the guest will be provided with a code to access this. The guest agrees reasonable and lawful usage of this service.  

Noise

Loud music is not permitted. Please ensure noise is kept to a minimum between the hours of 11pm and 9am either inside the houses or in the outside space.

Parking

There is adequate free parking for guests at The Coach House and Barn.

Electric Vehicle Charging

We have a 7kwh Easee Type 2 EV charger shared between The Coach House and Barn.  Please request this to be activated prior to arrival.  We charge units used at 30p / kwh.

You must not connect your electric vehicle to charge from a 3-pin domestic socket anywhere on site; not in our properties, nor any external 3-pin socket. This is a fire risk and therefore an insurance issue. If we become aware that you are using a domestic socket for Electric Vehicle Charging, you will be considered to be in breach of contract and will be asked to vacate the site immediately.  

Electricity

Hoods Croft is a rural property that is susceptible to occasional power cuts especially in the winter months.  Whilst these are seldom for any length of time, we cannot be held liable for loss of power (which is outside of our control) to the properties.  We will make every effort in such circumstances to assist our guests however is reasonably possible.

Breakages

The guest should make every effort to keep the property, fixtures and fittings and all contents in the same state of repair and condition as at the start of the stay. Any accidental damage or breakages should be reported to the property owner (or their representative) prior to departure. The property owner retains the right to make an additional charge for damage and breakages although it should be noted that minor breakages and reasonable wear and tear (in the opinion of the property owner) will not be charged for.

Return of Breakage Deposit

Your breakage deposit, minus any deductions, will be returned to you within 7 days of check-out.

Complaints

Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the guest to make any such problem known to the property owner (or their representative) immediately it becomes apparent, thereby giving the property owner the opportunity to correct the situation. We will not be liable to make any refund in respect of complaints made after departure. We value every booking and want all our guests to enjoy their holidays.

The property owner will make every endeavour to rectify any identified problems as soon as is reasonably possible.

Miscellaneous

Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made and some things do change. The guest accepts that no refunds are available for such discrepancies.

The property owner reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required. 

The property owner is entitled to ask the guest to leave the property without any refund if, in the property owner's opinion, the behaviour of the guest and/or his/her party is unacceptable.

The property owner reserves the right to refuse entry to anyone, who in the property owner's opinion is not suitable to or capable of taking charge of the property. 

Contravention Of Our Terms and Conditions

Hoods Croft Stays and/or its agents reserve the right to require the guest and their party to vacate immediately, without recourse to compensation, should any of our Terms and Conditions be contravened.
